1. About These Terms

These Terms and Conditions ("Terms") govern the relationship between Vaultline ("we", "us", "our") and any individual or family ("you", "the client") who enquires about, registers for, or attends our programs and sessions. By submitting an enquiry or booking, you confirm that you have read and understood these Terms and agree to be bound by them.

Vaultline provides general educational, facilitative, and administrative organisation services only. Nothing we offer, produce, or communicate constitutes legal advice, financial advice, tax advice, or any regulated professional service. If you require such advice, we respectfully encourage you to consult a suitably qualified professional.

2. Our Services

Vaultline currently offers the following three services to families based in or visiting Bangkok:

• Family History Capture Session — a structured memory and education session designed to help families record their own stories using guided prompts. Price: ฿3,800 per session.
• Important Records Organiser — an administrative organisation service helping families inventory and arrange their own existing documents with clear templates and a filing system. Price: ฿15,000 per engagement.
• Succession Literacy & Facilitation Program — an educational program covering general succession and record-keeping concepts, with neutral facilitation to support calm family conversations. Price: ฿33,600 per program.

Service descriptions are provided for general information. We reserve the right to adjust program content, delivery format, or scheduling where circumstances reasonably require, and will notify affected clients as early as practicable.

3. Nature of the Services — Important Notice

All Vaultline services are educational, facilitative, and administratively organisational in nature. We do not practise law, provide legal or financial advice, assist with tax planning, or offer services regulated by the Securities and Exchange Commission, Bank of Thailand, Thai Bar Association, or any other regulatory authority.

Materials, workbooks, guides, and facilitation provided in our programs represent general information and structured organisation tools only. They are not to be interpreted as legal documents, legal opinions, financial instruments, or professional recommendations of any kind. Vaultline accepts no responsibility for decisions made on the basis of program content without independent professional guidance.

4. Booking and Payment

4.1 Enquiries and Confirmation

All bookings begin with an enquiry submitted via our contact form or by telephone. We will respond within two business days to confirm availability, answer any initial questions, and provide a booking summary by email.

4.2 Payment

A deposit of 50% of the applicable service fee is required to confirm your booking. The remaining balance is due no later than two business days before your session or program start date. Payment details will be provided in your booking confirmation email. All prices are quoted in Thai Baht (฿) and are inclusive of applicable taxes unless otherwise stated.

4.3 Receipts

An official receipt will be issued within five business days of full payment being received.

5. Cancellation and Rescheduling

5.1 By the Client

• Cancellations made 10 or more business days before the scheduled session: deposit refunded in full.
• Cancellations made 5–9 business days before: 50% of the deposit is refunded; the remainder is retained as an administration contribution.
• Cancellations made fewer than 5 business days before: no refund on the deposit. The remaining balance, if already paid, will be refunded in full.

To reschedule, please contact us as early as possible. One rescheduling without charge is offered, subject to availability. Subsequent rescheduling requests may be treated as a cancellation and new booking.

5.2 By Vaultline

If we need to cancel or significantly reschedule a session for reasons within our control, we will notify you promptly and offer an alternative date or a full refund of all amounts paid. We are not liable for additional costs or losses arising from such a cancellation.

6. Intellectual Property

All materials provided during Vaultline sessions — including workbooks, template packs, prompt cards, facilitation guides, and digital resources — remain the intellectual property of Vaultline unless otherwise stated in writing. You are welcome to use these materials for your own personal and family purposes. They may not be reproduced, distributed, or adapted for commercial use without our prior written consent.

7. Confidentiality

We understand that family conversations may involve personal and sensitive matters. Our facilitators and staff are expected to treat all session content with discretion and respect. We do not share personal details disclosed during sessions with third parties, except where required by law or with your explicit consent. Please refer to our Privacy Policy for further information on how personal data is handled.

8. Participant Responsibilities

You agree to:

• Attend sessions punctually, or notify us in advance if you are unable to do so;
• Engage respectfully with Vaultline facilitators and any other participants;
• Bring any documents or materials requested in your pre-session preparation guide;
• Use all provided materials and information for lawful purposes only.

We reserve the right to discontinue a session if conduct is disruptive or disrespectful. In such circumstances, no refund will be offered for the session in question.

9. Limitation of Liability

To the fullest extent permitted by applicable Thai law, Vaultline's liability to you in connection with any service is limited to the total fees paid by you for that specific service. We are not liable for indirect, consequential, or incidental losses arising from use of or reliance on any program content, template, or facilitation outcome.

Nothing in these Terms limits liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

10. Privacy and Data

Your personal data is collected and processed in accordance with our Privacy Policy and Thailand's Personal Data Protection Act B.E. 2562 (2019). By enquiring about or attending a Vaultline service, you acknowledge that we may hold contact and session information for the purposes described in that policy.

11. Cookies

Our website uses cookies to improve your browsing experience. Full details are available in our Cookie Policy. You may manage cookie preferences at any time through the consent notice on our homepage.

12. Amendments to These Terms

We may update these Terms from time to time to reflect changes in our services or applicable regulations. The current version will always be available on our website with its effective date shown above. Continued use of our services after any update constitutes acceptance of the revised Terms.

13. Governing Law

These Terms are governed by the laws of the Kingdom of Thailand. Any dispute arising from or connected with these Terms shall be subject to the jurisdiction of the courts of Bangkok, Thailand.
